Responsibility
- Assist in the organization, filing, and retrieval of physical and digital documents in compliance with company standards.
- Maintain and update document control databases, ensuring accuracy and accessibility for authorized personnel.
- Support the version control of documents, including tracking revisions, approvals, and distribution.
- Collaborate with departments to classify, index, and archive documents according to established protocols.
- Assist in preparing reports and summaries related to document management activities.
- Ensure confidentiality and security of sensitive documents in accordance with company policies.
- Participate in audits and compliance checks to verify document integrity and adherence to regulations.
- Provide administrative support to the Document Control team, including scanning, copying, and data entry tasks.
Qualifications
- Currently enrolled in a Bachelor’s degree in Business Administration, Office Management, Library Science, or a related field (final-year students preferred).
- Strong attention to detail and organizational skills with the ability to manage multiple tasks efficiently.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiar with document management software.
- Excellent written and verbal communication skills in English (Bahasa Indonesia is a plus).
- Ability to work independently and collaboratively in a team-oriented environment.
- Basic understanding of confidentiality principles and data protection best practices.
- Prior experience in administrative or clerical roles (internships, part-time jobs, or volunteer work) is an advantage.
- Strong problem-solving skills and a proactive approach to tasks.
