Responsibility
- Manage and maintain project documentation, ensuring accuracy, version control, and accessibility for all stakeholders.
- Coordinate with internal teams (engineering, legal, finance) to collect, review, and archive project-related documents.
- Develop and implement document control procedures to comply with company policies and regulatory requirements.
- Track project timelines, deadlines, and deliverables, providing administrative support to project managers.
- Prepare and distribute meeting agendas, minutes, and reports for project reviews and stakeholder updates.
- Organize and digitize physical and electronic files, ensuring secure storage and easy retrieval.
- Monitor contract renewals, permits, and licenses, alerting relevant parties to upcoming deadlines.
- Assist in preparing presentations, proposals, and other administrative materials for client and internal meetings.
Qualifications
- Bachelor’s degree in Business Administration, Project Management, or a related field.
- Minimum 3 years of experience in document control, project administration, or office management, preferably in property development or construction.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and document management systems.
- Strong organizational skills with meticulous attention to detail and the ability to manage multiple priorities.
- Excellent written and verbal communication skills in English and Indonesian.
- Familiarity with project management tools (e.g., Asana, Trello) and ERP systems is a plus.
- Ability to work independently and collaboratively in a team-oriented environment.
- Knowledge of real estate, construction, or industrial project documentation is highly advantageous.
