Responsibility
- Manage and maintain administrative systems, including filing, documentation, and record-keeping for construction projects.
- Coordinate meetings, prepare agendas, and distribute minutes to ensure effective communication across teams.
- Liaise with internal departments, clients, and external vendors to facilitate smooth project execution.
- Oversee the preparation and processing of contracts, invoices, and other legal or financial documents.
- Monitor office supplies and equipment, ensuring availability and cost-effective procurement.
- Assist in the development and implementation of office policies and procedures to improve operational efficiency.
- Handle confidential information with discretion and maintain high standards of data integrity.
- Support HR-related tasks, such as onboarding new employees and managing timesheets or attendance records.
Qualifications
- Bachelor’s degree in Business Administration, Management, or a related field. Relevant experience may substitute for formal education.
- Minimum of 3 years of experience in an administrative or executive support role, preferably within the construction or engineering sector.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiar with project management tools.
- Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent written and verbal communication skills in English; additional language skills are a plus.
- Detail-oriented with a high degree of accuracy and attention to detail in all tasks.
- Ability to work independently and collaboratively in a fast-paced, multicultural environment.
- Knowledge of basic HR processes and office management best practices is advantageous.
