Responsibility
- Manage and maintain the centralized document control system for the Design Team, ensuring all project-related documents are accurately filed, version-controlled, and easily accessible.
- Coordinate with engineers, architects, and project managers to collect, review, and distribute technical drawings, specifications, and reports.
- Develop and implement standardized documentation procedures to improve efficiency and reduce errors in project deliverables.
- Monitor document workflows, track revisions, and ensure timely submission of critical project documentation to stakeholders.
- Provide administrative support including meeting coordination, minute-taking, and preparation of agendas for design and project review sessions.
- Liaise with external vendors, clients, and regulatory bodies to facilitate document approvals and compliance with industry standards.
- Generate and maintain project documentation logs, including transmittals, submittals, and as-built drawings.
- Assist in the preparation of progress reports, presentations, and other administrative deliverables for senior management.
Qualifications
- A diploma or degree in Business Administration, Construction Management, or a related field is preferred.
- Minimum 3 years of experience in document control, administrative support, or a similar role within the construction, engineering, or architecture industry.
- Proficiency in document management software (e.g., SharePoint, Aconex, or ProjectWise) and Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong organizational and time-management skills with the ability to prioritize tasks in a high-volume environment.
- Excellent written and verbal communication skills in English, with a keen eye for detail.
- Familiarity with construction terminology, blueprints, and technical drawings is a plus.
- Ability to work independently and collaboratively in a multicultural team setting.
- Knowledge of ISO standards for document control and quality management systems is advantageous.
