Responsibility
- Provide high-level administrative and executive support to assigned business partners and functional teams.
- Manage complex calendars, schedule internal and external meetings, and coordinate comprehensive travel arrangements (flights, accommodation, visas).
- Prepare, format, and edit professional documents, presentations, reports, and correspondence with accuracy and attention to detail.
- Assist with office management tasks, including procurement of supplies, vendor liaison, and maintenance of office systems and records.
- Process expense reports, invoices, and other financial documentation in compliance with company policies.
- Coordinate logistical arrangements for company events, workshops, client visits, and team-building activities.
- Act as a primary point of contact for internal and external stakeholders, handling inquiries and directing communication efficiently.
- Support various ad-hoc projects and initiatives to enhance operational efficiency and team productivity.
Qualifications
- Proven experience (3-5 years) in an administrative, executive assistant, or business support role, preferably within a project-based, engineering, or professional services environment.
- Exceptional organizational and time management skills with a demonstrated ability to multitask, prioritize effectively, and meet deadlines.
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) is essential.
- Excellent verbal and written communication skills in English, with the ability to interact professionally at all levels.
- High degree of discretion and ability to handle confidential information with integrity and professionalism.
- Proactive, self-motivated, and adaptable with strong problem-solving capabilities and a keen eye for detail.
- A Bachelor's degree in Business Administration, Office Management, or a related field is highly desirable.
- Experience working in a multinational company or a global team is an advantage.
