As part of our dynamic team, you will play a key role in managing the administrative lifecycle of foreign worker documentation, including physical submissions via the Foreign Workers Management System (FWMS). Your meticulous attention to detail will ensure all passports and permits meet validity requirements and adhere to FOMEMA (Foreign Workers Medical Examination Agency) standards. Collaboration with operational units (OUs) will be essential to resolve discrepancies and maintain compliance with local and international regulations.

Responsibility
- Manage and process passport submissions (physical and digital via FWMS) for foreign workers, ensuring accuracy and timeliness.
- Verify the validity of passports, work permits, and other critical documents to comply with Indonesian immigration laws.
- Coordinate with FOMEMA to ensure all foreign workers meet medical examination and health compliance requirements.
- Liaise with internal operational units (OUs) to resolve incomplete or non-compliant documentation.
- Maintain a tracking system for document renewals, deadlines, and submission statuses.
- Prepare and distribute reports on foreign worker documentation status to relevant stakeholders.
- Assist in onboarding and offboarding processes for foreign employees, including orientation on compliance requirements.
- Provide administrative support for visa applications, extensions, and other immigration-related tasks.
Qualifications
- Minimum Diploma or Bachelor’s degree in Business Administration, Human Resources, or a related field.
- Proven experience (1-3 years) in administrative roles, preferably with exposure to foreign worker documentation or immigration processes.
- Familiarity with FWMS (Foreign Workers Management System) and FOMEMA compliance requirements is a plus.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent communication skills in English (written and verbal); proficiency in Bahasa Indonesia is advantageous.
- Detail-oriented with a high level of accuracy in document verification and data entry.
- Proficiency in Microsoft Office Suite (Excel, Word) and basic database management.
- Ability to work independently and collaboratively in a multicultural team environment.
