Responsibility
- Manage and organize office correspondence, including emails, letters, and memos, ensuring timely and professional communication.
- Coordinate and maintain executive calendars, schedules, and appointments to optimize time management.
- Prepare and edit documents, reports, and presentations with a high degree of accuracy and attention to detail.
- Handle incoming and outgoing calls, taking messages and directing inquiries to the appropriate departments.
- Assist in the preparation of meetings, including arranging venues, sending invitations, and compiling meeting materials.
- Maintain and update filing systems, both digital and physical, to ensure easy retrieval of information.
- Liaise with vendors, clients, and internal teams to facilitate smooth office operations.
- Support special projects and initiatives as assigned, contributing to team goals and objectives.
Qualifications
- Proven experience as an Administrative Assistant, Office Assistant, or in a similar role (minimum 1-2 years preferred).
- Excellent written and verbal communication skills in English; proficiency in additional languages is a plus.
- Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- High attention to detail and problem-solving abilities to handle multiple tasks in a fast-paced environment.
- Ability to work independently as well as collaboratively in a team setting.
- Discretion and professionalism in handling confidential information.
- Familiarity with office management software or tools is an advantage.
