Responsibility
- Coordinate and manage daily administrative tasks for the Facilities Management Department, including scheduling, correspondence, and documentation.
- Assist in the preparation and distribution of reports, presentations, and other business documents.
- Liaise with internal and external stakeholders to facilitate smooth communication and operational workflows.
- Maintain and organize filing systems, both digital and physical, ensuring easy retrieval of information.
- Handle incoming and outgoing communications, including emails, phone calls, and visitor inquiries, with professionalism and discretion.
- Support the planning and execution of meetings, events, and facility-related activities.
- Monitor and order office supplies, ensuring adequate stock levels for departmental needs.
- Assist in budget tracking and expense reporting for the department as required.
Qualifications
- Diploma or Bachelorâs degree in Business Administration, Office Management, or a related field.
- Minimum of 1-2 years of experience in an administrative or office support role, preferably in a healthcare or corporate environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management software.
- Excellent organizational and time-management skills, with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills in English; knowledge of Indonesian (Bahasa) is a plus.
- High attention to detail and problem-solving abilities.
- Ability to work independently and collaboratively in a team-oriented setting.
- Adaptability and a proactive approach to handling multiple tasks in a fast-paced environment.
