Responsibility

  • Prepare and verify trade documentation, including invoices, packing lists, bills of lading, and certificates of origin to ensure compliance with international trade regulations.
  • Coordinate with freight forwarders, shipping lines, and customs brokers to facilitate smooth and timely shipment of specialty fats products.
  • Liaise with customers, suppliers, and internal teams to confirm order details, shipment schedules, and delivery timelines.
  • Maintain accurate records of trade transactions, shipment statuses, and inventory levels using ERP or trade management systems.
  • Monitor and resolve discrepancies in trade documents or shipment details, ensuring all operations adhere to company policies and legal requirements.
  • Assist in the preparation of trade reports, including volume, cost, and delivery performance metrics for management review.
  • Provide administrative support to the trade and logistics team, including scheduling meetings, managing correspondence, and organizing files.
  • Stay updated on industry trends, trade regulations, and best practices to contribute to process improvements within the division.

Qualifications

  • Diploma or Bachelor’s degree in Business Administration, International Trade, Logistics, or a related field.
  • Minimum 2 years of experience in trade support, logistics coordination, or a similar administrative role, preferably in the commodities or FMCG sector.
  • Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with ERP or trade management software.
  • Excellent written and verbal communication skills in English; knowledge of Indonesian (Bahasa) is a plus.
  • High attention to detail and ability to manage multiple tasks under tight deadlines in a fast-paced environment.
  • Familiarity with international trade regulations, Incoterms, and customs documentation is highly advantageous.
  • Proven ability to work collaboratively in a team and build strong relationships with internal and external stakeholders.
  • Problem-solving mindset with a proactive approach to identifying and resolving operational challenges.
