Responsibility
- Manage and coordinate executive calendars, including scheduling meetings, appointments, and travel arrangements.
- Handle confidential correspondence, emails, and communications with professionalism and discretion.
- Prepare reports, presentations, and documents to support executive decision-making.
- Act as a liaison between executives and internal/external stakeholders, ensuring clear and timely communication.
- Organize and maintain digital filing systems, databases, and contact lists for easy retrieval.
- Assist with project management tasks, including tracking deadlines, following up on action items, and coordinating team efforts.
- Conduct research and compile data to support business strategies and operational needs.
- Provide high-level administrative support, including expense tracking, invoice processing, and budget monitoring.
Qualifications
- Proven experience (2+ years) as an Executive Assistant, Virtual Assistant, or in a similar administrative role.
- Exceptional organizational and time-management skills with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills in English; additional languages are a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Calendar).
- Experience with project management tools (e.g., Trello, Asana, Monday.com) and CRM systems is advantageous.
- High level of discretion, professionalism, and ability to handle sensitive information confidentially.
- Self-motivated, proactive, and able to work independently with minimal supervision.
