Responsibility

  • Manage and coordinate complex executive calendars, including scheduling meetings, appointments, and prioritizing conflicting demands.
  • Handle all travel arrangements, including flights, accommodations, and itineraries, ensuring seamless logistics for domestic and international trips.
  • Prepare and edit correspondence, reports, and presentations with a high degree of accuracy and professionalism.
  • Act as the primary point of contact for internal and external stakeholders, screening calls, emails, and inquiries with discretion.
  • Organize and facilitate meetings, events, and conferences, including preparing agendas, minutes, and follow-up actions.
  • Maintain strict confidentiality in handling sensitive documents, communications, and executive matters.
  • Liaise with other departments, vendors, and partners to ensure smooth operations and timely execution of tasks.
  • Proactively identify opportunities to improve efficiency and streamline administrative processes.

Qualifications

  • Bachelor’s degree in Business Administration, Hospitality, or a related field.
  • Proven experience (2+ years) as a Personal Assistant, Executive Assistant, or in a similar administrative role, preferably in hospitality or corporate settings.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.
  • Exceptional organizational, time-management, and multitasking abilities with a keen eye for detail.
  • Strong written and verbal communication skills in English; additional languages (e.g., Indonesian, Mandarin) are a plus.
