Responsibility
- Manage and organize executive calendars, including scheduling meetings, appointments, and travel arrangements.
- Handle incoming and outgoing communications, including emails, calls, and correspondence, with a high degree of professionalism.
- Coordinate and facilitate virtual meetings, preparing agendas, taking minutes, and following up on action items.
- Maintain and update operational records, databases, and filing systems to ensure accuracy and accessibility.
- Assist in project management by tracking deadlines, monitoring progress, and liaising with team members.
- Prepare reports, presentations, and documents with attention to detail and confidentiality.
- Act as a point of contact between executives and internal/external stakeholders, ensuring smooth communication.
- Perform ad-hoc administrative tasks and provide support to other departments as needed.
Qualifications
- Proven experience as an Executive Assistant, Operations Assistant, or similar administrative role.
- Excellent organizational and time-management skills with the ability to multitask and prioritize effectively.
- Strong written and verbal communication skills in English.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Familiarity with virtual communication tools such as Zoom, Slack, and Trello.
- High level of discretion and confidentiality when handling sensitive information.
- Self-motivated with the ability to work independently in a remote setting.
- Bachelorās degree in Business Administration, Communications, or a related field is a plus.
