Responsibility

  • Coordinate and manage relationships with external vendors, ensuring timely delivery of services and adherence to contractual agreements.
  • Maintain and organize critical operational documentation, including contracts, reports, and compliance records.
  • Assist the COO and operations team in streamlining daily workflows to enhance productivity and efficiency.
  • Schedule and facilitate internal meetings, prepare agendas, and document action items for follow-up.
  • Monitor operational expenses, track budgets, and assist in financial reporting as needed.
  • Act as a liaison between departments to ensure smooth communication and collaboration.
  • Implement and maintain operational best practices to support business growth and scalability.
  • Handle ad-hoc administrative tasks to support the COO and senior leadership team.

Qualifications

  • Minimum of 2-3 years of experience in operations, administration, or office support roles.
  • Strong organizational and time-management skills with the ability to prioritize tasks in a fast-paced environment.
  • Excellent written and verbal communication skills in English; proficiency in Bahasa Indonesia is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Drive).
  • Experience with vendor management, contract coordination, or procurement is highly desirable.
  • Ability to work independently in a remote/hybrid setting with minimal supervision.
  • Detail-oriented with a strong commitment to accuracy and quality in all tasks.
  • Familiarity with venture capital, finance, or startup environments is an advantage.
