Responsibility
- Serve as the primary point of contact for administrative and clerical support to the Regional Security Office (RSO), ensuring seamless operations.
- Manage and coordinate office correspondence, including emails, memos, and official documents, with a high level of accuracy and confidentiality.
- Organize and maintain sensitive records, files, and databases, ensuring compliance with U.S. government and embassy protocols.
- Schedule and coordinate meetings, appointments, and travel arrangements for RSO personnel, including visa processing and logistical support.
- Assist in the preparation of reports, presentations, and briefing materials for senior staff and external stakeholders.
- Monitor office supplies, equipment, and inventory, placing orders and managing vendor relationships as needed.
- Provide general administrative support, such as drafting documents, preparing expense reports, and processing invoices.
- Act as a liaison between the RSO and other embassy departments, external agencies, and local authorities to facilitate smooth communication and collaboration.
Qualifications
- Minimum of 3 years of experience in office administration, clerical support, or a related field, preferably in a diplomatic, government, or international organization.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with database management.
- Excellent written and verbal communication skills in English; additional languages are a plus.
- Exceptional organizational skills with the ability to prioritize tasks, manage deadlines, and work under pressure in a fast-paced environment.
- High level of discretion and integrity when handling sensitive and confidential information.
- Ability to work independently with minimal supervision while collaborating effectively with a diverse team.
- Experience with travel coordination, visa processing, and logistical support is highly desirable.
- Familiarity with U.S. government or embassy procedures and protocols is an advantage.
