Responsibility

  • Manage and maintain an organized system for storing, retrieving, and archiving legal documents, both physical and digital.
  • Ensure all legal documents are accurately filed, indexed, and updated in compliance with company policies and regulatory requirements.
  • Coordinate with legal teams to prepare, review, and finalize contracts, agreements, and other legal correspondence.
  • Monitor document deadlines, renewals, and expirations, and proactively notify relevant stakeholders.
  • Implement and maintain document control procedures to enhance efficiency and reduce risks.
  • Assist in the preparation of legal reports, summaries, and presentations as required.
  • Conduct regular audits of document repositories to ensure completeness, accuracy, and security.
  • Provide administrative support to the legal department, including scheduling, correspondence, and meeting coordination.

Qualifications

  • Bachelor’s degree in Law, Business Administration, or a related field. A paralegal certification is a plus.
  • Minimum of 2-3 years of experience in legal document control, administration, or a similar role.
  • Strong knowledge of document management systems (DMS) and legal terminology.
  • Exceptional organizational skills with a keen eye for detail and accuracy.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with legal software.
  • Excellent written and verbal communication skills in English and Indonesian.
  • Ability to handle confidential information with integrity and discretion.
  • Strong time management skills with the ability to prioritize tasks and meet deadlines.
