Responsibility
- Manage and maintain the document control system in compliance with ISO 9001, ISO 14001, or other relevant standards.
- Ensure all documents (policies, procedures, work instructions, forms) are accurately version-controlled, approved, and distributed.
- Coordinate document reviews, updates, and revisions with cross-functional teams to reflect current practices.
- Monitor and enforce records retention and disposal policies in accordance with legal and organizational requirements.
- Conduct regular audits of documentation to verify compliance and identify areas for improvement.
- Train employees on document control procedures and best practices for records management.
- Support internal and external audits by providing requested documentation and facilitating access.
- Develop and implement process improvements to enhance efficiency in document handling.
Qualifications
- Bachelorâs degree in Business Administration, Management, or a related field; additional certifications in ISO standards (e.g., ISO 9001 Lead Auditor) are a plus.
- Minimum 3 years of experience in document control, records management, or a similar role, preferably in an ISO-certified organization.
- In-depth knowledge of ISO standards (9001, 14001, 45001) and document control principles.
- Proficiency in document management software (e.g., SharePoint, Alfresco, or proprietary QMS tools).
- Strong attention to detail and organizational skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills in English; familiarity with Indonesian is advantageous.
- Analytical mindset with problem-solving abilities to address documentation discrepancies.
- Ability to work collaboratively in a multicultural team and adapt to evolving compliance requirements.
