Responsibility
- Manage and coordinate complex executive calendars, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, and presentations with a high degree of accuracy and professionalism.
- Act as the primary point of contact for internal and external stakeholders, handling inquiries with discretion and efficiency.
- Organize and maintain confidential files, documents, and records, ensuring compliance with company policies.
- Coordinate logistics for high-level meetings, including venue booking, catering, and technical setup.
- Liaise with other departments to gather information and facilitate decision-making processes.
- Monitor and respond to emails, phone calls, and other communications on behalf of executives.
- Assist in the preparation of budgets, expense reports, and other financial documents as required.
Qualifications
- Bachelorâs degree in Business Administration, Secretarial Studies, or a related field.
- Minimum of 5 years of experience as an Executive Secretary, Personal Assistant, or in a similar high-level administrative role.
- Exceptional organizational, multitasking, and time-management skills.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
- Outstanding written and verbal communication skills in English; knowledge of Indonesian is a plus.
- Strong interpersonal skills with the ability to build relationships with stakeholders at all levels.
- High level of professionalism, discretion, and confidentiality.
- Experience working in a multinational corporation or fast-paced environment is preferred.
