Responsibility

  • Manage and coordinate executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, and presentations with a high degree of accuracy and professionalism.
  • Act as the primary liaison for internal and external stakeholders, ensuring timely and effective communication.
  • Organize and maintain confidential files, documents, and records with meticulous attention to detail.
  • Coordinate logistics for board meetings, conferences, and corporate events, including venue booking and material preparation.
  • Screen and prioritize incoming communications (emails, calls, and mail) and respond or redirect as appropriate.
  • Assist in the preparation of budgets, expense reports, and other financial documentation.
  • Proactively identify opportunities to improve office efficiency and implement administrative best practices.

Qualifications

  • Bachelor’s degree in Business Administration, Secretarial Studies, or a related field.
  • Minimum of 3 years of experience as an Executive Secretary, Personal Assistant, or in a similar high-level administrative role.
  • Exceptional written and verbal communication skills in English and Indonesian.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
  • Strong organizational and time-management skills, with the ability to multitask and prioritize in a fast-paced environment.
  • Discretion and confidentiality in handling sensitive information.
  • Proven ability to work independently, take initiative, and solve problems proactively.
  • Familiarity with corporate governance and basic financial processes is a plus.
