Responsibility

  • Manage the Director’s calendar, including scheduling meetings, appointments, and travel arrangements with meticulous attention to detail.
  • Prepare and edit correspondence, reports, and presentations, ensuring accuracy and professionalism in all communications.
  • Act as the first point of contact for the Director, screening calls, emails, and visitors while maintaining strict confidentiality.
  • Coordinate and facilitate internal and external meetings, including preparing agendas, minutes, and follow-up actions.
  • Handle sensitive and confidential information with the utmost discretion and integrity.
  • Liaise with senior management, clients, and partners to ensure smooth communication and alignment on key initiatives.
  • Maintain organized filing systems (digital and physical) for easy retrieval of documents and records.
  • Assist in project coordination and administrative tasks to support the Director’s strategic objectives.

Qualifications

  • Minimum 3 years of experience as an Executive Secretary, Personal Assistant, or in a similar high-level administrative role.
  • Exceptional written and verbal communication skills in English; proficiency in additional languages is a plus.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools.
  • Strong organizational and time-management skills, with the ability to prioritize tasks in a fast-paced environment.
  • High level of professionalism, discretion, and ability to handle confidential information with integrity.
  • Proactive mindset with strong problem-solving abilities and attention to detail.
  • Experience in a corporate or real estate environment is highly desirable.
