Responsibility

  • Coordinate and manage the Director's complex calendar, including scheduling meetings, appointments, and business trips.
  • Act as the primary point of contact between the Director and internal/external stakeholders, ensuring clear and professional communication.
  • Plan and organize business travel arrangements, including flights, accommodations, and itineraries, with meticulous attention to detail.
  • Represent the Director at select business appointments, meetings, or events, ensuring accurate note-taking and follow-up actions.
  • Prepare and distribute meeting agendas, take detailed minutes, and track action items to ensure timely completion.
  • Manage confidential documents and correspondence, ensuring discretion and proper handling of sensitive information.
  • Assist in the preparation of reports, presentations, and other business documents as required.
  • Proactively anticipate the Director's needs and provide solutions to enhance efficiency and productivity.

Qualifications

  • Bachelor's degree in Business Administration, Communications, or a related field.
  • Minimum of 3 years of experience as a Personal Assistant, Executive Assistant, or in a similar administrative role supporting senior management.
  • Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills in English; proficiency in additional languages is a plus.
  • High level of discretion and professionalism in handling confidential information.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with virtual meeting platforms.
  • Ability to work independently with minimal supervision and adapt to changing priorities.
