Responsibility
- Manage end-to-end insurance policy administration, including renewals, claims processing, and compliance documentation.
- Serve as the primary liaison for high-profile clients, ensuring timely and professional communication.
- Coordinate complex travel and logistics arrangements for executives and clients, including visas, accommodations, and transportation.
- Oversee calendar management, meeting scheduling, and preparation of briefing materials for leadership.
- Maintain confidential client databases and ensure data accuracy across CRM systems.
- Process invoices, expense reports, and financial documentation with meticulous attention to detail.
- Anticipate operational needs and implement process improvements to enhance efficiency.
- Handle ad-hoc projects and urgent requests with discretion and urgency.
Qualifications
- Minimum 3+ years of experience as a Personal Assistant, Executive Assistant, or in a similar administrative role.
- Proven track record in client relationship management or high-touch service industries (e.g., luxury hospitality, finance, or legal).
- Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and CRM tools (e.g., Salesforce, HubSpot).
- Exceptional organizational and time-management skills, with the ability to prioritize competing deadlines.
- Fluent English communication (written and verbal); additional languages are a plus.
- Experience with insurance administration or financial services is highly advantageous.
