As an Executive Assistant, you will serve as the backbone of executive efficiency, managing complex calendars, coordinating strategic communications, and ensuring seamless office operations. Responsibility
- Manage and prioritize complex executive calendars, including scheduling meetings, appointments, and travel arrangements with meticulous attention to detail.
- Act as the primary point of contact for internal and external stakeholders, handling correspondence, inquiries, and communications with professionalism and confidentiality.
- Prepare and edit high-level documents, presentations, and reports to ensure accuracy and alignment with executive standards.
- Coordinate and facilitate executive meetings, including preparing agendas, taking minutes, and following up on action items.
- Oversee office operations, including supply management, vendor relations, and workspace organization to maintain an efficient and productive environment.
- Liaise with other departments to ensure seamless collaboration and execution of cross-functional initiatives.
- Anticipate executive needs and proactively address them to streamline decision-making and workflow.
- Maintain strict confidentiality and exercise discretion in handling sensitive information and executive matters.
Qualifications
- Bachelorâs degree in Business Administration, Communications, or a related field (or equivalent work experience).
- Minimum of 3-5 years of experience as an Executive Assistant, Personal Assistant, or in a similar high-level administrative role.
- Exceptional organizational, time-management, and multitasking skills with the ability to prioritize in a fast-paced environment.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration tools (e.g., Slack, Trello, Asana).
- Outstanding written and verbal communication skills in English, with a professional and polished demeanor.
- Strong problem-solving abilities and a proactive approach to addressing challenges.
- High level of integrity, discretion, and the ability to handle confidential information with care.
- Experience working in an international or multicultural environment is a plus.
