Responsibility
- Manage complex calendars, meetings, and travel arrangements for senior executives, ensuring alignment with Australian business hours.
- Act as the primary point of contact for internal and external stakeholders, handling correspondence with professionalism and discretion.
- Prepare reports, presentations, and business documents with meticulous attention to detail.
- Coordinate cross-border communication between teams in Australia and the Philippines/Indonesia, ensuring clarity and efficiency.
- Oversee administrative tasks, including expense tracking, invoice processing, and vendor coordination.
- Implement and maintain organized filing systems (digital and physical) for easy retrieval of critical documents.
- Anticipate executive needs and proactively resolve operational challenges to enhance productivity.
- Assist in project management tasks, including timeline tracking and stakeholder updates.
Qualifications
- Minimum 3+ years of experience as an Executive Assistant, preferably supporting offshore or international clients.
- Proven ability to work Australian business hours (flexibility required).
- Exceptional written and verbal communication skills in English (business-level proficiency).
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools (e.g., Zoom, Teams).
- Strong organizational skills with the ability to prioritize tasks in a high-pressure environment.
- Experience managing confidential information with integrity and discretion.
- Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
- Familiarity with CRM systems (e.g., Salesforce) or project management tools (e.g., Asana, Trello) is a plus.
