This is a full-time, on-site position based in Bali, Indonesia. We welcome applications from candidates who are legally authorized to work in Indonesia.
Responsibility
- Manage and prioritize executive calendars, scheduling meetings, appointments, and travel arrangements with precision and efficiency.
- Act as the primary point of contact for internal and external stakeholders, handling communications with professionalism and discretion.
- Prepare, edit, and proofread high-quality documents, reports, and presentations for leadership review.
- Coordinate and organize high-level meetings, including preparing agendas, taking minutes, and ensuring follow-up on action items.
- Handle confidential and sensitive information with the utmost integrity and confidentiality.
- Anticipate the needs of executives, proactively identifying and resolving potential issues before they arise.
- Assist with project management, tracking deadlines, and ensuring timely completion of key initiatives.
- Support office operations, including vendor management, expense reporting, and administrative tasks as needed.
Qualifications
- Minimum of 3-5 years of experience as an Executive Assistant or in a similar high-level administrative role.
- Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Strong written and verbal communication skills in English; proficiency in Bahasa Indonesia is a plus.
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Docs).
- Experience with calendar management tools (e.g., Outlook, Google Calendar) and project management software (e.g., Asana, Trello).
- High level of discretion and professionalism when handling sensitive information.
- Ability to work independently, take initiative, and solve problems with minimal supervision.
- Strong interpersonal skills with the ability to build relationships across all levels of the organization.
