Responsibility
- Manage the registration, classification, and archiving of all company documents, both physical and digital, in accordance with established protocols.
- Ensure the accurate and timely distribution of documents to authorized personnel while maintaining strict confidentiality.
- Implement and monitor document control procedures to comply with industry standards and regulatory requirements.
- Conduct regular audits of documentation systems to verify accuracy, completeness, and accessibility.
- Collaborate with departments to streamline document workflows and improve efficiency in information retrieval.
- Maintain a secure and organized filing system, including version control and revision tracking for critical documents.
- Assist in the preparation and submission of documents for internal reviews, external audits, or legal compliance.
- Train and guide employees on document management best practices and system utilization.
Qualifications
- Bachelor’s degree in Business Administration, Office Management, or a related field. Relevant experience may substitute for formal education.
- Minimum of 2 years of experience in document control, records management, or a similar administrative role.
- Proficiency in document management software (e.g., SharePoint, Alfresco, or proprietary systems) and Microsoft Office Suite.
- Strong attention to detail with exceptional organizational and time-management skills.
- Excellent written and verbal communication skills in English; knowledge of Indonesian is a plus.
- Ability to handle sensitive information with discretion and integrity.
- Familiarity with ISO standards or other compliance frameworks is highly desirable.
- Proactive mindset with the ability to work independently and as part of a team in a multicultural environment.
