Responsibility
- Manage and process daily departmental documents, ensuring accuracy, confidentiality, and timely submission.
- Coordinate administrative support for the department, including scheduling meetings, preparing reports, and maintaining records.
- Act as the primary point of contact for internal and external stakeholders, facilitating smooth communication and information flow.
- Develop and implement efficient filing systems (digital and physical) to streamline document retrieval and storage.
- Assist in the preparation of presentations, proposals, and project documentation as required.
- Monitor departmental supplies and equipment, coordinating procurement and maintenance as needed.
- Support the team with travel arrangements, expense reports, and other logistical tasks.
- Identify opportunities to improve administrative processes and contribute to departmental efficiency initiatives.
Qualifications
- Minimum of 2-3 years of experience in an administrative or office support role, preferably in a corporate or project-based environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Slides).
- Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines in a fast-paced environment.
- Excellent written and verbal communication skills in English; additional languages (e.g., Mandarin, Bahasa Indonesia) are a plus.
- Detail-oriented with a high level of accuracy in data entry and document processing.
- Experience with document management systems or enterprise software (e.g., SAP, SharePoint) is advantageous.
- Ability to work independently with minimal supervision, demonstrating initiative and problem-solving skills.
- Strong interpersonal skills and a collaborative mindset to work effectively with cross-functional teams.
