Responsibility
- Manage the MD’s calendar, including scheduling meetings, appointments, and travel arrangements with meticulous attention to detail.
- Act as the primary liaison between the MD and internal/external stakeholders, ensuring clear and professional communication.
- Prepare and edit correspondence, reports, and presentations, ensuring accuracy and alignment with company standards.
- Coordinate and oversee office operations, including procurement, vendor management, and facility logistics.
- Handle confidential and sensitive information with the utmost discretion and professionalism.
- Assist in personal tasks for the MD, such as expense management, itinerary planning, and event coordination.
- Maintain organized filing systems (digital and physical) for easy retrieval of critical documents.
- Proactively identify opportunities to streamline administrative processes and enhance efficiency.
Qualifications
- Minimum 3-5 years of experience as an Executive Assistant, Personal Assistant, or in a similar administrative role.
- Exceptional organizational and time-management skills, with the ability to prioritize tasks in a high-pressure environment.
- Strong written and verbal communication skills in English; proficiency in additional languages is a plus.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools (e.g., Outlook, Google Calendar).
- High level of professionalism, integrity, and discretion in handling confidential matters.
- Proven ability to work independently, take initiative, and solve problems proactively.
- Experience in the manufacturing, materials, or corporate sector is highly advantageous.
- Bachelor’s degree in Business Administration, Management, or a related field preferred.
