Responsibility
- Oversee daily office operations, including facility management, supply procurement, and vendor coordination to ensure a productive and efficient workspace.
- Manage and track company expenses, ensuring accurate documentation, timely reimbursements, and adherence to budgetary guidelines.
- Maintain compliance with local regulations, corporate policies, and industry standards, including labor laws, tax requirements, and data protection protocols.
- Coordinate travel arrangements, visa processing, and accommodation for employees and executives, ensuring smooth and cost-effective logistics.
- Develop and implement administrative procedures to streamline workflows, reduce redundancies, and enhance operational efficiency.
- Prepare and present regular reports on office performance, expense trends, and compliance status to senior management.
- Act as the primary point of contact for internal and external stakeholders, including government agencies, service providers, and team members.
- Support HR functions, such as onboarding, offboarding, and employee record-keeping, in collaboration with the HR team.
Qualifications
- Minimum of 3 years of experience in administrative roles, office management, or operations support, preferably in a multinational or fast-paced corporate environment.
- Proven expertise in expense management, budget tracking, and financial reporting, with a keen eye for detail and accuracy.
- Strong understanding of local compliance requirements, including labor laws, tax regulations, and business licensing in Indonesia.
- Exceptional organizational skills, with the ability to prioritize tasks, manage deadlines, and handle multiple projects simultaneously.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Slides); experience with ERP or expense management software is a plus.
- Excellent written and verbal communication skills in English; fluency in Bahasa Indonesia is highly advantageous.
- Ability to work independently with minimal supervision, demonstrating initiative, problem-solving skills, and a proactive attitude.
- Strong interpersonal skills, with the ability to build relationships and collaborate effectively with colleagues at all levels.
