Responsibility
- Serve as the primary point of contact for the office, greeting visitors and handling incoming calls, emails, and correspondence professionally.
- Manage and organize office schedules, including coordinating meetings, appointments, and travel arrangements for staff.
- Maintain and update office records, files, and databases to ensure accuracy and easy retrieval of information.
- Prepare and distribute internal documents, reports, and presentations, ensuring they are error-free and formatted to company standards.
- Order and manage office supplies, equipment, and inventory, while monitoring budgets and expenses.
- Assist in the preparation of agendas, minutes, and follow-up actions for meetings and conferences.
- Coordinate with other departments to facilitate smooth communication and workflow across the organization.
- Perform general administrative tasks such as data entry, filing, and photocopying as needed.
Qualifications
- Proven experience (minimum 2 years) in an administrative or office support role, preferably in a corporate or professional setting.
- Excellent written and verbal communication skills in English, with a professional and courteous demeanor.
- Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management software.
- High attention to detail and problem-solving abilities to handle multiple tasks efficiently.
- Ability to work independently as well as collaboratively in a team environment.
- Strong interpersonal skills to interact effectively with colleagues, clients, and visitors.
- Diploma or Bachelor’s degree in Business Administration, Office Management, or a related field is a plus.
