Responsibility
- Manage and organize office documentation, including filing, record-keeping, and digital archiving to ensure easy retrieval and compliance.
- Coordinate daily office operations, including handling correspondence, scheduling meetings, and maintaining office supplies.
- Provide administrative support to team members, including preparing reports, presentations, and other essential documents.
- Assist in event planning and coordination for NGO programs, workshops, and community initiatives.
- Handle incoming and outgoing communications, including emails, phone calls, and inquiries, with professionalism and efficiency.
- Maintain and update databases, spreadsheets, and contact lists to ensure accuracy and accessibility.
- Support financial administration tasks, such as tracking expenses, processing invoices, and assisting with budget preparation.
- Collaborate with cross-functional teams to ensure seamless workflow and effective communication across departments.
Qualifications
- Proven experience as an Administrative Assistant, Office Administrator, or similar role, preferably in an NGO or nonprofit setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Drive).
- Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
- Strong written and verbal communication skills in English; additional languages are a plus.
- Detail-oriented with a high level of accuracy in data entry, documentation, and administrative tasks.
- Ability to work independently, take initiative, and adapt to changing priorities in a fast-paced environment.
- Experience with basic bookkeeping, expense tracking, or financial administration is advantageous.
- Familiarity with project management tools (e.g., Trello, Asana) or CRM systems is a bonus.
