Responsibility

  • Manage and organize all purchase, sales, and return documentation to ensure accuracy and compliance with company policies.
  • Reconcile invoices, receipts, and financial records to maintain up-to-date and error-free administrative systems.
  • Coordinate with procurement and logistics teams to track inventory levels, monitor stock movements, and minimize discrepancies.
  • Prepare and submit regular reports on purchasing trends, sales performance, and inventory status to support data-driven decision-making.
  • Assist in the preparation of monthly, quarterly, and annual financial summaries for internal and external stakeholders.
  • Liaise with suppliers, vendors, and internal teams to resolve discrepancies, process returns, and ensure timely deliveries.
  • Maintain digital and physical filing systems for all administrative documents, ensuring easy retrieval and compliance with record-keeping standards.
  • Support store operations by providing administrative assistance, including order processing, data entry, and inventory audits.

Qualifications

  • Minimum of 2 years of experience in administrative roles, preferably within the F&B, retail, or hospitality industry.
  • Strong proficiency in Microsoft Office (Excel, Word, PowerPoint) and experience with inventory management software or ERP systems.
  • Excellent organizational skills with a keen eye for detail and accuracy in data entry and documentation.
  • Ability to multitask, prioritize workloads, and meet deadlines in a fast-paced environment.
  • Strong communication skills, both written and verbal, with the ability to liaise effectively with internal teams and external partners.
  • Basic understanding of financial processes, including invoicing, reconciliation, and reporting.
  • Fluency in English and Bahasa Indonesia; additional languages are a plus.
  • High school diploma or equivalent; a degree in Business Administration, Finance, or a related field is advantageous.
